Other Policies: STANDARD RENTAL POLICIES:

1. CHECK-IN TIME IS AFTER 3 P.M. EST ON RESERVATION DATE AND CHECKOUT IS 10 A.M. EST. No early check-ins due to the time needed for cleaning. You must depart at the appropriate checkout time. This agreement does not create a tenancy or residence and guest(s) is not acquiring any interest in the property.

2. DAMAGE/RESERVATION DEPOSIT. A damage /reservation deposit of $200 is required. Deposit must be received at the time of booking the reservation. The deposit automatically converts to a security/damage deposit upon arrival. This deposit is NOT applied toward the rent; it is fully refundable within 14 days of departure provided the following provisions are met:

a. No damage is done to Cabin or its contents beyond normal wear and tear.

b. No charges are incurred due to contraband, pets, or collection of rents or services rendered during the stay.

c. All debris, rubbish, and discards are placed in appropriate containers for the cleaning crew; soiled dishes are placed in the dishwasher.

d. Unit is left locked (all windows and doors).

e. All charges accrued during the stay are paid prior to departure.

f. All Cabin contents, including linens, are accounted for and not damaged. (Inventory checklist is completed prior to and after each renter?s stay)

g. No early check-in or late check-out without explicit approval prior to arrival

h. The renter is not evicted by the owner (or representative of the owner), local law enforcement, or the community association.

3. PAYMENT ? A 100% advance payment is required 14 days before reservation date. (A $200 damage/reservation deposit, a $50 cleaning fee, and taxes in the amount of 9.5% is also included in the total.) You can book online and pay via PAYPAL. PAYPAL is an independent secure online payment processing service. Other payment methods must be in the form of traveler?s checks, bank money orders, cashier?s checks made payable in U.S. funds to Bear Run Cabin. If you wish to make payment by personal check it must be received and cleared 14 days before reservation date.

4. BALANCE OF RENT MUST BE PAID (14) days prior to your arrival date. If payment is not received (14) days prior to your arrival date. Your deposit will be forfeited.

5. CANCELLATIONS ? A (14) day notice is required for cancellation. Cancellations that are made more than (14) days prior to the arrival date will incur no penalty. Cancellations or changes that result in a shortened stay that are made within (14) days of the arrival date, forfeit the full advance payment, damage/reservation deposit, and cleaning fee. Cancellation or early departure does not warrant any refund of rent or deposit.

6. CLEANING FEE CHARGE ? A cleaning fee of $50 will be charged per stay payable when the advance payment balance is due. If cancellation of reservation is made prior to the (14) - day limitation, the cleaning charge will be refunded. If cancellation occurs within (14) days of the arrival date, no refund will be provided.

7. MONTHLY RESERVATION CANCELLATIONS ? Monthly renters must cancel one hundred twenty (120) days prior to check-in. Monthly renters who make a change that results in a shortened stay must be made at least ninety (90) days prior to check-in.

8. MAXIMUM OCCUPANCY ? Bear Run Cabin is priced according to size and sleeping capacity. It is a (2) bedroom Cabin with the maximum number of guests limited to (6) persons. Children under the age of twelve (12) stay free. An additional $10 per person per night charge for over four guests (over the age of 12) will be assessed. Any violation of this policy will result in eviction of the entire party without refund. Please respect the maximum number of people Bear Run Cabin will accommodate.

9. MINIMUM STAY REQUIREMENTS ? Bear Run Cabin requires a three (3) night minimum stay. Longer minimum stays may be required during holiday periods. If the Cabin is booked for less than 3 days, the guests will be charged the 3-night rate.

10. NO DAILY MAID SERVICE ? While linens and bath towels are supplied in the Cabin , daily maid service is not included in the rental rate.

11. RATES CHANGES ? Rates charged fluctuate with seasons and are subject to change without notice.

12. FALSIFIED RESERVATIONS ? Any reservations obtained under false pretense will be subject to forfeiture of advance payment, deposits, and/or rental money and the party will not be permitted to check-in.

14. Bear Run Cabin WILL NOT BE RENTED to vacationing students or singles under 25 years of age unless accompanied by an adult guardian or parent. Identification must be presented at time of check-in. Anyone under 25 will forfeit the deposit and advance payment.

15. Occupancy and use of the premises shall not be used to disturb or offend neighbors or residents. Agent of the Owner has the right to terminate agreement and ask disruptive guests to vacate premises.

16. LOST & FOUND- We are not responsible for lost or stolen items. Please check your unit thoroughly prior to your departure for any personal belongings. We are not responsible for items left behind. If you notice you have left an item behind, please call our office and every effort will be made to locate the item.

17. Guest(s) shall be solely responsible for any property damage, accident injury to any person, including loss of money , jewelry, and other items of personal property arising out of or in any way related to Guest(s) use of the premises or items of personal property provided by Owner(s) agents at the Guest(s) requests. Guest(s) shall inspect and be familiar with proper use and application of such items prior to using them. Guest(s) agrees to indemnify and hold Owner (Bear Run Cabin) and/or owner?s agents harmless from any and all claims including those of any third party arising out of or in any way related to Guest(s) use of premises or the items of personal property provided therein. Guest(s) assume the risk of injury or other losses relating to any recreational activities and will hold the owner and its agents harmless with respect there to such events.

18. WHEATHER- Bear Run Cabin cannot be held responsible for the weather. In case of early departure, no refunds will be given. Bear Run Cabin is accessed on paved streets. Though significant winter storms are rare, it may sometimes may require 4 wheel drive and/or tire chains during winter storms. Bear Run Cabin is located in the mountains, roads in the mountains can be difficult during any season. Road surface conditions are not guaranteed at any time. No changes or refunds will be given for fear of curvy or steep roads. There are no refunds given due to weather. We do not provide transportation or take responsibility for towing service as a result of icy or poor road conditions.

19. Bear Run Cabin is a NON-SMOKING unit. Guest(s) acknowledges this and understands that they are responsible for any damages associated with this act. Guest(s) also agree that any cleaning and or damage due to smoking will be charged to the Guest(s) credit card on file or against any damage deposit.

20. NO PETS ALLOWED - Pets are not permitted in the Cabin under any conditions. Guest(s) acknowledge this and understand they are responsible for any damages associated with this act. Guest(s) also agree with any cleaning and or damage due to unauthorized pets will be charged to the Guest(s) credit card on file or against any damage deposit.

21. WILDLIFE AND INSECTS- Guest(s) understands that the unit is located in an area that may have wildlife present and that the Owner and/or its agents are harmless from any risk or injury or other losses resulting from the presence of or contact with wildlife. Guest(s) understand that they are not to provide any food to any wildlife. DO NOT FEED THE BEARS AND/OR ANY OTHER WILDLIFE. Please remember you are in the mountains. Lady Bugs and other native insects have been known to infest Cabin s located in the Great Smoky Mountains. Bear Run Cabin is treated for pest control on a regular basis. Occasionally insects could make their way inside. In these rare instances, no refund will be given. In such a case, notify the office, and we will make every effort to solve the problem in a timely manner. Please do your part by keeping windows and doors closed and all food and trash inside or in the appropriate outside receptacles.

22. Any locked doors are reserved for owner?s use only, are absolutely not to be disturbed and are not included in this rental agreement as usable space by any guest(s).

23. Bear Run Cabin is on well water and as such may guest(s) may notice a slight odor. This is a common naturally occurring condition with well water and is harmless for use.


24. All linens including bed linens, towels, wash cloths, and hand towels are furnished. Linens and towels are not permitted to be taken from the Cabin. For activities off premises that require the need for towels, etc., renters must furnish their own. Disposable items such as toilet paper and paper towels are furnished for your arrival only. Starter supplies such as soap and or shampoo will be provided for a short stay. If your stay goes beyond 3 days please bring you own supplies

25. Local telephone is free. Long distance calls may be made using a calling card, credit card, or by calling collect. If any charges are incurred on the owner?s telephone bill or cable during the time that the guest is a registered occupant, then the guest will be billed for the charges.

26. Guest(s) agree that owner?s agents may enter the premises for the purpose of making necessary emergency repairs or maintenance.
